Using AI to Accelerate Research Synthesis in a Healthcare Enterprise

The Situation:

A mid-sized healthcare research organization (~250 employees) relied on teams of researchers to assemble and synthesize large dossiers for clients. These engagements combined client and consumer interviews with competitive and scientific research, structured into deliverables for healthcare organizations.


Nearly half of the company's staff worked on this synthesis process. It was thoughtful, high-quality work, but time-intensive. As demand grew, the organization faced a difficult tradeoff: longer hours, more hiring, or reduced client capacity.


The CTO saw an opportunity to apply AI to accelerate the research workflow, but previous attempts to introduce new technology had met resistance from the Board of Directors. Any proposed solution needed to be both effective and trustworthy.


The Approach:

We began by sizing the opportunity and mapping the research workflow end-to-end. Roughly 100 researchers were spending close to half their time reading and synthesizing large volumes of unstructured material.


This made the core problem clear. The bottleneck wasn't collecting inputs, but understanding and synthesizing them efficiently.


Before building anything, we addressed the trust gap. The Board's first questions were predictable and reasonable:

  • How do we know summarization works?

  • How does it actually work?


We walked through the fundamentals of extractive and abstractive summarization and demonstrated working examples on real text corpora, which shifted the conversation from skepticism to cautious optimism.


Rather than attempting full automation, we designed a human-in-the-loop summarization workflow. Researchers would continue gathering materials as before, but AI-assisted synthesis would help them surface key documents and assemble deliverables faster.


The goal was not to replace researchers. It was to remove the most time-consuming part of their workflow.


The Results:

Within a few weeks, we delivered a working prototype that the research team began piloting immediately.


The tool helped researchers:

  • Understand large document sets more quickly

  • Identify relevant materials earlier in the process

  • Streamline the creation of client deliverables


Early adoption demonstrated clear time savings without sacrificing research quality. The team presented pilot results to the Board, which approved broader rollout across the organization.


Why this matters:

Applying AI inside established organizations is rarely just a technical problem. Trust and workflow integration matter as much as model quality.


This engagement succeeded because the solution respected how researchers actually worked and demonstrated value quickly enough to earn organizational buy-in.


The hardest part of applied AI isn't building models. It's making them usable and trusted by the people doing the work.
